On-set consent & privacy protocol

What we film, what we never film, and what happens to the footage. Published so that every clinic, practitioner and patient knows the rules before the camera is unpacked.

A clinic is a medical space. Filming inside it is a privilege that depends on trust, so this protocol applies to every Cinematic Clinic and Divan Group shoot, in every country, without exception. Where a clinic's own regulator or privacy law is stricter, the stricter rule applies.

Consent

  • Written consent from every identifiable person on camera — practitioners, staff, models and patients — before filming, on a release form the clinic keeps a copy of.
  • Patients are never filmed without the clinic's sign-off, and never during a consultation or procedure unless that is explicitly what they have agreed to.
  • Consent can be withdrawn at any point before publication, in writing, and the footage is removed from the edit.
  • Minors are not filmed as patients. Minors appearing incidentally (for example, a family member in reception) are excluded from the frame or blurred.

On the day

  • Filming zones are agreed in the space audit; no camera in any room that has not been cleared for that time slot.
  • Signage at reception tells patients that filming is taking place and how to avoid it.
  • Screens, charts, whiteboards and paperwork with patient information are turned, covered or removed before a shot is set up.
  • Before-and-after material is filmed only from the clinic's own consented records, never captured new on set without a specific release.

Footage, storage and deletion

  • Raw footage is stored on encrypted drives and in access-controlled cloud storage; it is never shared with third parties for any purpose other than producing the clinic's deliverables.
  • Raw material involving patients is deleted on request at any time and, by default, twelve months after final delivery.
  • The clinic receives full usage rights to the finished films and stills; Cinematic Clinic and Divan Group use finished work in their own portfolios only with the clinic's written permission.

Regulation

Clinics remain responsible for compliance with their own professional and privacy rules — for example PHIPA in Ontario, HIPAA in the United States, the GDPR in Spain, and the UAE Personal Data Protection Law — and this protocol is designed to make that easy to demonstrate. Release templates are provided; a clinic may substitute its own.

This protocol describes how we work; it is not legal advice. Version 1, September 2026. Questions: balamchi@divangroup.ca.
